Until I started working for an IT consultancy that was all-in on Microsoft 365. The standard procedure was to centralize everything directly on OneNote. We even had a template. Nonetheless, I remember calling my manager after one of my first intake meetings with a customer &#8211; rather panicked: \u201c<\/i><b><i>I have no clue what I discussed for the past hour!\u201d<\/i><\/b><\/p>\n<p>What happened there? I was too focused on meticulously following a note-taking structure that was incompatible with how my brain is wired. So my brain disconnected. And my notes were useless. They can be used for personal future reference, but often the purpose is to also share the meeting notes. That way both attendees and people who\u00a0<i>weren\u2019t<\/i>\u00a0able to attend the meeting have a future reference.<\/p>\n<h2><span style=\"color: #421f3c; font-size: 32px;\">How detailed do meeting minutes need to be?\u200b<\/span><\/h2>\n<p>Meeting notes are not meant to be exhaustive. They need to come to the point. Some obvious items to be included on the first page:<\/p>\n<ul>\n<li aria-level=\"1\">The meeting date<\/li>\n<li aria-level=\"1\">The names (and organizations\/functions) of the attendees<\/li>\n<li aria-level=\"1\">The\u00a0<b>objective\u00a0<\/b>of the meeting (what needs to be achieved?)<\/li>\n<li aria-level=\"1\">The agenda items<\/li>\n<li aria-level=\"1\">A reference of the project the meeting relates to<\/li>\n<li aria-level=\"1\">Links to previous related meeting notes, and other related resources<\/li>\n<\/ul>\n<p>However, the\u00a0<b>most important focal point of meeting notes is summarizing new information<\/b>:\u00a0<\/p>\n<ul>\n<li aria-level=\"1\">Issues that were raised<\/li>\n<li aria-level=\"1\">Resolutions and unresolved issues<\/li>\n<li aria-level=\"1\">Assignments of tasks\u00a0<\/li>\n<li aria-level=\"1\">People that need to be added in the loop<\/li>\n<\/ul>\n<p>On a personal note, I\u2019m a believer in adding\u00a0<a href=\"https:\/\/www.teamgantt.com\/blog\/raci-chart-definition-tips-and-example\" target=\"_blank\" rel=\"noopener\">RACI charts<\/a>\u00a0to meeting notes as well (and also of pulling them up on a screen at the start of a meeting).\u00a0<\/p>\n<p>Why? Because in the midst of meeting discussions people tend to confuse or conflate responsibilities and accountabilities. So it\u2019s a helpful reminder. Come prepared\u200b<\/span><\/h2>\n<p>This is actually a guideline for meetings in general, but it\u2019s even more crucial if you\u2019re taking meeting notes that you or other people are really counting on later. A lot goes on during a meeting and it can be challenging to keep track of everything without prior preparation.\u00a0<\/p>\n<p>Review the agenda and\u00a0<b>have any relevant documents or programs opened<\/b>\u00a0on your computer. That will help you ensure you\u2019re ready to capture important details. You can even foresee a top section with some pre-meeting notes to help you stay focused on your personal objectives in the meeting: Questions you really can\u2019t forget to ask, things you need to inform everyone about. Things like that.<\/p>\n<h2><span style=\"color: #421f3c; font-size: 32px;\">2. Share your notes on screen (if possible)\u200b<\/span><\/h2>\n<p>During the meeting, share your notes on a screen for everyone to see. That way, you ensure transparency and you allow attendees to correct any inaccuracies on the spot.\u00a0<\/p>\n<p>It also\u00a0<b>keeps everyone aligned and engaged<\/b>\u00a0with the note-taking process. As a result, you won\u2019t have to rush as much to keep up.<\/p>\n<h2 class=\"elementor-heading-title elementor-size-default elementor-inline-editing pen\" contenteditable=\"true\" data-elementor-setting-key=\"title\" data-pen-placeholder=\"Type Here...\"><span style=\"color: #421f3c; font-size: 32px;\">3. Follow a consistent, standardized structure\u200b<\/span><\/h2>\n<p>Basically, that means:\u00a0<b>Develop your\u00a0<\/b><b><i>own\u00a0<\/i><\/b><b>meeting minutes template.<\/b>\u00a0That way your brain will train itself to pick out the relevant pieces from the waves of information that surge around during the meetings you attend.<\/p>\n<p>Once you\u2019ve figured out the structure that works best for you, don\u2019t hesitate to\u00a0<b>share\u00a0<\/b>your template\u00a0<b>ahead of time<\/b>\u00a0with meeting participants.\u00a0<\/p>\n<p>Just let them know: \u201cFor your information, I\u2019ll be taking notes and here\u2019s the structure I\u2019ll pour them into.\u201d That way you\u2019ll condition people to take your structure into account and make your task easier. \u00a0And always remember to read them over at the next meeting, since according to <a href=\"https:\/\/www.onboardmeetings.com\/blog\/roberts-rules-of-order\/\" target=\"_blank\" rel=\"noopener\">Robert&#8217;s Rules of Order<\/a>, reviewing and approving previous minutes is one of the important steps to follow for an effective meeting.<\/p>\n<h2><span style=\"color: #421f3c; font-size: 32px;\">4. Write objectively\u200b<\/span><\/h2>\n<p>While taking notes, ensure you remain neutral and unbiased.\u00a0<b>Focus on capturing the facts<\/b>, decisions, and action items without inserting personal opinions or interpretations (it\u2019s harder than you\u2019d think). Your notes will not only be more professional. They\u2019ll be\u00a0<b>more accurate<\/b>\u00a0too.<\/p>\n<p>One\u00a0<b>technical tip<\/b>\u00a0on how to achieve this: Use precise and factual language. Don\u2019t write, &#8220;John wants to cut the budget because he feels there\u2019s overspending in department X.&#8221; It\u2019s not up to you to assume what John really wants or feels, unless he very explicitly says so.\u00a0<\/p>\n<p>Rather, state something like this,\u00a0<b>\u201cJohn Lingard has identified overspending in department X. He suggests a 10% budget reduction. To be validated by Stacy.\u201d<\/b>\u00a0<\/p>\n<p>To be even\u00a0<i>more\u00a0<\/i>factual and restrain yourself from manipulating the reality of things with tone-of-voice or specific vocabulary, I\u2019d also suggest using bullet points as much as possibe. Review and finalize asap\u200b<\/span><\/h2>\n<p>After the meeting, review your notes promptly while the information is still fresh in your mind.\u00a0 In fact,\u00a0<b>foresee time for it in your agenda<\/b>\u00a0&#8211; if only ten or fifteen minutes. Ensure that all key points, decisions, and action items are accurately captured.\u00a0<\/p>\n<p>If there are any gaps,\u00a0<b><i>this\u00a0<\/i><\/b><b>is the right moment to ask others to fill you in<\/b>. Don\u2019t feel embarrassed about that. There\u2019s no shame in this. I notice many of my colleagues take notes very differently than I do. Maybe you have some practices to share with me? I suspect anyone reading this is familiar with the capabilities, so I won\u2019t go in any detail here.<\/p>\n<p>There\u2019s just one point I\u2019d like to make: These tools are super useful and flexible. You can basically format things whichever way you like. Great, but<b>\u00a0just beware of the pitfall of losing consistency<\/b>\u00a0because of it.\u00a0<\/p>\n<p>For instance if you\u2019re a consultant that meets with tens of customers per month,\u00a0<b>not sticking to the same layout and structure makes it so much less efficient to process\u00a0<\/b>notes afterwards.\u00a0<\/p>\n<p>In my meeting notes, I take the habit of marking personal to-do\u2019s in yellow and to do\u2019s of others in blue. People tend to disregard them entirely for that purpose. But bear with me for just an instant.<\/p>\n<p>Spreadsheets have a few great advantages. Their<b>\u00a0layout is innately structured\u00a0<\/b>&#8211; which not only\u00a0<b>forces you<\/b>\u00a0<b>to keep your meeting minutes very consistent<\/b>. It also makes it much easier to\u00a0<b>centralize any information\u00a0<\/b>in a database (like a CRM)\u00a0you may be using.\u00a0<\/p>\n<p>Imagine again you\u2019re that consultant who visits tens of prospects or customers every month. And imagine in all of these meetings &#8211; at some point &#8211; your competitors are discussed. Maybe you also tend to discuss the key industry trends from your customers point-of-view. After a few months that adds up to\u00a0<b>a lot of useful data you could easily repurpose:<\/b>\u00a0To inform your marketing strategy and communication, for instance. Or to write interesting posts or articles that speak to your target audience on LinkedIn.<\/p>\n<h2><span style=\"color: #421f3c; font-size: 32px;\">A note taking app: For versatile note-taking\u200b\u200b<\/span><\/h2>\n<p>I mentioned Microsoft OneNote in the introduction. I don\u2019t use it anymore, and I didn\u2019t find it as user friendly as a simple word processing tool. But I do remember one thing that was often particularly useful: Multimedia integration.<\/p>\n<p>Note-taking apps allow you to include text, images,\u00a0<b>audio recordings and even handwritten notes.<\/b>\u00a0That comes in super handy when the matters discussed in a meeting become particularly technical or complex. Customize the template to highlight these areas.\u00a0<\/p>\n<p>For example, if you\u2019re a project manager and tracking deadlines is crucial, create a prominent section for due dates and follow-ups, rather than inserting (and highlighting them throughout the notes).<\/p>\n<p>If your meeting notes tend to be shared, but you also write down things that you prefer to keep for yourself, consider a hard page break to separate confidential and non-confidential notes and\u00a0<b>use paragraph styles to easily toggle between the two (and other sections in your template for that matter)<\/b>. But many meetings are not intended for creative brainstorming. Nonetheless,\u00a0<b>it\u2019s a pity to let the seed of a great idea dry out<\/b>, simply because the meeting was about dry numbers.<\/p>\n<p>Allow yourself to embed some sort of passive brainstorming section on your meeting minutes. It should not be so prominent that it takes away your focus from everything else, of course.
